Rental Inspection Report — Privacy Policy

Rental Inspection Report ("the App") is developed by Mobile Card Games & Travel Apps LLC. This Privacy Policy explains what data the App collects, how it is used, and how your privacy is protected.
1. Data We Collect
Rental Inspection Report stores your inspection data on your device. We operate no server, require no account, and your photos and reports are never uploaded to us.
- Properties, sessions, rooms, and issues: The inspection records you create, stored in the App's local database on your device.
- Inspection photos and videos: Room-by-room photos (and videos up to 5 minutes, with audio if you record it) captured with the in-app camera, saved as files on your device. Photo-library access is used only to pick cover photos for properties.
- Location in photos: If you grant location permission, GPS coordinates are embedded in each photo's metadata as proof of where it was taken (see Location below).
- Purchase information: Purchases and subscriptions are processed by Apple; the App never sees your payment card details.
The App does not collect your name, email address, or contacts, and it contains no analytics, no ads, and no tracking.
2. Location
Location is a documentation feature of this App: it exists to prove where and when a property's condition was recorded.
- GPS embedded in photos: With your permission (requested only when you start documenting a room, and only "While Using" the App), the App embeds your current GPS coordinates into each captured photo's EXIF metadata as inspection evidence. Those coordinates travel with the photo file — so anyone you share a photo or report with can see where it was taken. That is the point of the feature, but keep it in mind when sharing.
- Reverse geocoding by Apple: To show a human-readable address in the App and in reports, the photo's coordinates are sent to Apple's geocoding service (CLGeocoder) and processed by Apple under Apple's privacy policy (apple.com/legal/privacy). Results are cached on your device.
- No tracking: Your location is never sent to us or to any advertising or analytics service. Denying location permission simply produces photos without embedded coordinates.
3. How We Use Your Data
- Your inspection records, photos, and videos exist solely to build your turnover documentation and PDF reports.
- PDF reports are generated entirely on your device, and sharing a report or photo happens only when you initiate it through the system share sheet — you choose who receives it.
- Reminders use local notifications scheduled on your device; nothing is sent from a server.
4. Optional iCloud Sync
The App includes an iCloud Sync switch that is off by default. If you turn it on, the App mirrors your photo and document files into your own private iCloud Drive container, tied to your Apple ID, so they are backed up and available on your other devices. This data goes to Apple's iCloud servers under Apple's privacy policy — not to any server we operate, and we cannot access it. A Wi-Fi-only option is available for videos. Turning the switch off stops mirroring.
5. Third-Party Data Sharing
The App shares data with exactly one third party:
- RevenueCat (revenuecat.com): Manages the one-time Property Pass purchase and Pro subscriptions. RevenueCat receives purchase and transaction data from Apple along with a random anonymous app-user ID — never your name, email, photos, or inspection data.
Beyond that, data leaves your device only to Apple (reverse geocoding, and iCloud if you enable sync) and to whomever you personally share a photo or report with. We do not sell, rent, or share your data.
6. Data Storage and Retention
- On your device: Inspection records live in the App's local database; photos and videos are files in the App's private storage. Deleting a property, session, or photo in the App removes it.
- In your iCloud (optional): If iCloud Sync is on, copies of your photo and document files live in your private iCloud Drive under your Apple ID's control.
- On our servers: None — we operate no backend server of any kind.
- Uninstalling the App removes all locally stored data.
7. Data Security
Your inspection data stays on your device unless you enable iCloud Sync or share it yourself. Communication with Apple's geocoding service, iCloud, and RevenueCat uses encrypted HTTPS.
8. Your Rights
You can:
- Deny or revoke location permission at any time in iOS Settings — photos will simply be captured without embedded coordinates.
- Deny camera, microphone, or photo-library permission; the App will still work except for the features those permissions enable.
- Turn iCloud Sync on or off at any time, and manage the App's iCloud files via your device's iCloud settings.
- Delete any record, photo, or video in the App, or remove everything by uninstalling.
Depending on where you live, privacy laws such as the European Union's General Data Protection Regulation (GDPR) and the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA) give you rights over your personal data, including the rights to know, access, correct, and delete it. Because we do not hold your data on servers we operate, there is typically nothing for us to access or delete on request — deleting the App deletes your data. Where the App does process data in transit, or a third-party service described above collects data, you may contact us at the email below to exercise your rights, and we will respond as required by applicable law.
9. Children's Privacy
The App is not directed at children under 13, and we do not knowingly collect data from children under 13. In some regions, including the European Union, a higher minimum age applies to consent for data processing; the same statement applies there — we do not knowingly collect data from anyone under the applicable age.
10. Data Breach Notification
In the unlikely event of a data breach affecting user data on any system we operate, we will notify affected users as required by applicable law.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be reflected by updating the "Effective Date" at the top of this page.
